A fully bespoke virtual AI team building activity for 1,200 colleagues across Malaysia, Singapore, Hong Kong, India, China and Africa, delivered with Remote Hosts for Prudential’s Group Tech & Operations function.

The Brief

Angeline Lam, HR Business Partner for Prudential’s Group Tech & Operations function, got in touch with Wildgoose looking for something well beyond an off-the-shelf virtual session. Prudential’s Global Technology Together Day was centered on the theme of AI Risk and Cyber Risk, and the brief, developed over several calls and a detailed written document, needed to:

  • Be ready for up to 1,800 colleagues from Prudential’s Tech & Operations teams, joining from more than 20 locations across Malaysia, Singapore, Hong Kong, India and China, as well as Africa
  • Feel bespoke, designed around Prudential’s own world and its AI Risk and Cyber Risk theme, rather than a generic trivia or icebreaker session
  • Double as a skills moment, following a ‘training first, then solve a case’ structure rather than pure entertainment
  • Work entirely virtually, with every participant joining individually from their own device rather than sharing a screen in a group
  • Run reliably behind corporate firewalls in every market involved, including mainland China, without excluding anyone on the day
  • Fit into a fixed 90-minute window, with the whole group split across multiple sessions

The Solution: The Mole Protocol

Wildgoose designed a fully bespoke, two-phase virtual mission for Prudential, using our Spy School: Training activity as the starting point. In the off-the-shelf version, teams complete levels of spy training before heading out on their first covert mission. For Prudential, we took that structure and designed entirely new content around threat detection, AI risk and cyber risk: participants became trainee agents who complete a skills phase before applying what they’ve learned to unmask a mole hidden among three fictional experts. The result was an AI team building activity in every sense: teams had to question what they were seeing, including spotting an AI-generated fake image, while working through realistic phishing and intelligence material.

Key delivery details:

  • Date & time: Wednesday, August 26, 2026, delivered as six simultaneous sessions of up to 300 participants each, so every region took part at the same moment
  • Format: Fully virtual, delivered across a mix of Zoom and Microsoft Teams sessions depending on region
  • Content: A custom narrative and storyboard with 16 challenges in total, split across a Phase 1 training stage (12 challenges, around 60 minutes) and a Phase 2 mole hunt (4 challenges, around 20 minutes)
  • Characters: Three original expert profiles designed for the mission, including Dr Maya Chen, Director of Threat Intelligence, each with their own theme and in-app introduction
  • Production: Two professionally produced videos, a briefing and a debrief, so every session delivered an identical, high-quality introduction and story resolution, whichever host was leading it
  • Visual assets: A full set of bespoke evidence designed for the story, including alibi photographs, an AI-generated fake image woven into one challenge, phishing and intelligence documents, and a password-locked, dossier-style web page
  • Technical preparation: A full dry run and firewall whitelisting exercise completed with Prudential’s IT team ahead of the day, to confirm the web dossier and the Mobile Adventures app would work reliably in every market, including mainland China
  • Group size: 1,200 participants in total, from a planned capacity of up to 1,800, working in teams throughout each session

The Result

Across six simultaneous sessions on August 26, 1,200 colleagues from more than 20 locations took on the same mission, with strong engagement and many participants getting fully invested in the story. Angeline summed up the experience in her Trustpilot review, titled “A Strong Partner for Complex Global Virtual Events”:

We had a fantastic experience partnering with the team for our Prudential Global Technology Together Day. The game was engaging, interactive, and received positive feedback from colleagues across multiple locations. What impressed us most was the team’s ability to design a unique experience around our event theme of AI Risk and Cyber Risk… successfully translating complex technology and risk concepts into an experience that was both educational and enjoyable for participants. Managing a live event involving participants from more than 20 locations across multiple markets and time zones is no small feat. The team coordinated everything seamlessly, creating a consistent and inclusive experience regardless of where participants were joining from… Overall, we truly appreciated the partnership and would gladly work with the team again for future events.

— Angeline Lam, HR Business Partner, Group Tech & Operations, Prudential

Following the activity, Wildgoose and Prudential agreed to continue the partnership under a new services arrangement covering further work together over the following year.

Why It Worked

  • Designing a real narrative around threat detection meant the mission reinforced Prudential’s own AI Risk and Cyber Risk theme, rather than sitting apart from it
  • Starting from a proven activity, Spy School: Training, gave the bespoke content a clear structure that already worked: training first, then a mission
  • Splitting the experience into a training phase followed by a mole hunt that used those skills gave the day a clear purpose beyond entertainment
  • Running six sessions at the same time, across both Zoom and Microsoft Teams, meant colleagues across Asia and Africa all shared the same moment, as one global team
  • Pre-produced briefing and debrief videos guaranteed a consistent, polished experience across every session, whichever host delivered it
  • Testing the web dossier and app against corporate firewalls in advance, including in mainland China, meant the technology held up at scale on the day itself
  • A dedicated team of hosts was trained and rehearsed on the story in the weeks beforehand, so six simultaneous sessions ran smoothly the first time

The Client

FAQs

Can a virtual team building activity be designed around our own theme?

Yes, it can, but every brief is different, so the first step is always to book a meeting with a Wildgoose representative to talk through what you’ve got in mind. That conversation helps us understand your theme, your audience and your timings, and work out together what’s possible and what would suit you best. Prudential’s mission involved a significant amount of design work, from a bespoke storyline and characters to new challenges, evidence and videos shaped around their AI Risk and Cyber Risk theme, developed and tested with their team over several weeks. If you’re looking for a lighter touch, our Custom Content and Custom Brand Add-Ons let you add your own questions and branding to an existing activity.

What is an AI team building activity?

An AI team building activity uses artificial intelligence as its theme, giving colleagues a shared, hands-on way to explore AI risk, misinformation and cyber security while working together as a team. In Prudential’s mission, teams learned to spot threats, including an AI-generated fake image, before using those skills to solve a case. Because every organization’s priorities around AI are different, we always recommend booking a meeting with a Wildgoose representative to talk through your brief and what would work best for your team.

Can one virtual activity run across several countries and time zones?

Yes. Teams in different countries can take part in the same live activity and compete on one leaderboard. Prudential chose to run all six of its sessions at the same time, so colleagues across Asia and Africa shared one moment together. If your teams are spread across very different time zones, we can also run sessions at different times, so everyone can join during their working day.

How many people can take part in a virtual team building activity?

A single virtual session can include up to 300 participants, in up to 50 teams of up to six. For larger groups, we run several sessions, either at the same time or at different times. For Prudential, six sessions ran at the same time, which is how 1,200 colleagues took part together.

Will a virtual activity work behind our corporate firewall?

There’s no account, login or single sign-on for participants: they download the Mobile Adventures app and join their team. For organizations with strict IT controls, we recommend a test run with your IT team before the day. For Prudential, we completed a full dry run and whitelisting exercise to confirm everything worked in every market, including mainland China.

Can you deliver virtual activities on Microsoft Teams as well as Zoom?

Yes. Zoom gives the smoothest experience because our hosts can manage breakout rooms directly, but we also deliver on Microsoft Teams, Google Meet and WebEx. On Teams, the meeting is set up in your own account, with a named colleague managing breakout rooms alongside our host.

How many hosts do you need for a large virtual activity?

Every hosted virtual session has a dedicated lead host, and for larger groups we aim to have around one Wildgoose team member for every 50 participants, supporting teams in their breakout rooms throughout.
